Correct Names & Passport Details
Carlson Wagonlit Travel (formerly TQ3 Navigant) will not proceed with a booking request until you supply Carlson Wagonlit Travel with a copy of the front page of your passport, showing correct name, date of birth, country of origin and passport number as these details have to be entered into your booking. The reason we require this information is because airlines will not allow names changes once the booking is completed and if the correct name is not in your booking and details have not been entered, you could be denied boarding at check-in.
Travellers to the United States

US Customs require airlines to provide them with advance information about all non-US citizen passengers including passport, visa and US address. Please ensure you have the street address, city and zip code of your main intended address in the US which you must advise Carlson Wagonlit Travel prior to travel or you could be denied boarding at check-in. The address must also match what you submit on your US Arrival Card.
United States Entry
Citizens of Visa Waiver Program eligible countries will require a machine readable passport to satisfy the visa waiver entry requirements of the USA. Holders of non-machine readable passports will need to obtain the appropriate USA visa before travel. If you have children included in your machine readable passport, you should apply for separate machine readable passports for each child to ensure you meet entry requirements. If you are travelling on a New Zealand passport, most are machine readable, however you can check if it is through the Department of Internal Affairs website www.passports.govt.nz. If you are travelling on a passport of another Visa Waiver Program eligible country and are not sure if your passport is machine readable, please contact your local consulate to find out. There are some airlines who do not participate in the VWP, hence you will very likely require a USA entry visa. If you have any questions, please let Carlson Wagonlit Travel know.
Visas
Some countries do require visas if you are a New Zealand Passport holder. An example is China and it can take approximately 7 working days to obtain a Chinese Visa. For some countries, it can take up to 14 working days, depending on whether the Consulate is based in NZ or overseas. It is imperative the passport details are advised at the initial inception of booking, so Carlson Wagonlit Travel can advise what visas are needed. In some cases several visas maybe required for the one trip and the timeframe required needs to be factored in as it could deny your ability to travel on the dates you are planning to.
Baggage
For travel to, from or via the USA, US Territories and Canada you are allowed two pieces of baggage per person not exceeding a total dimension (length + width + height) of 158cm (62in). Neither piece may exceed 23kg in weight.
For all other international journeys, your baggage allowance is based on weight:
First Class 40kg
Business Class 30kg
Economy Class 20kg
No single piece may exceed 23kg
Weight and size restrictions for carry-on luggage vary depending on the airline, class of travel and airport. We suggest you verify with the airline when checking in that your carry-on luggage meets their requirements. Please note when departing Auckland International Airport, that additional carry-on luggage screening occurs prior to Immigration and Customs. If your luggage exceeds the airline’s limits you will be sent back to check-in your bag which may cause you delays.
Windsurfers and Masts cannot be loaded on many types of aircrafts, particularly 320’s which are largely used in Europe and on the Trans Tasman. Excess luggage will be charged in most cases, so therefore it maybe advisable to travel via the USA with bulky equipment. Your dedicated Carlson Wagonlit Travel consultant will advise you of her recommendations when a booking has been requested.
Frequent Flyer Details
Please advise Carlson Wagonlit Travel of your Frequent Flyer details and please ensure that the details are identical to the information as it appears on your Frequent Flyer card. It is very important that you retain your boarding passes and original ticket or ET confirmation, as this proof of travel will be required by airlines should any flights not automatically appear on your statement. Most airlines provide a limited timeframe to claim missing points and you will need to forward the original documents to the airline while retaining a copy for yourself. Not all fare- types qualify for frequent flyer points or redemption of points. If you need clarification, please contact Carlson Wagonlit Travel.
Seating
Seat numbers shown on your itinerary have been requested; however the airline does reserve the right to change them if necessary.
Contact Details
It is important that we have an after hours phone number for you in case we need to contact you due to flight cancellations or unexpected schedule changes. Please provide details prior to travel.
